Project Management—From Trello to ClickUp

Project management is equal parts art and survival. Without the right system, deadlines slip, priorities clash, and chaos wins. The tools I use—Trello, Asana, Notion, and ClickUp—keep campaigns, teams, and workflows running without the caffeine-fueled panic.

Trello: The Visual Taskboard King

Trello is still my go-to for managing projects at a glance.

  • Kanban boards – Simple, drag-and-drop workflow that anyone can use.
  • Checklists & power-ups – Add automation, integrations, and reporting.
  • Shared boards – Clients and teams stay aligned without overcomplication.

Asana: The Structured Overachiever

When things get complex, Asana is where I scale.

  • Timelines & dependencies – Manage multi-step projects with clarity.
  • Workflow automation – Build recurring processes once, let Asana run them forever.
  • Cross-team visibility – Keeps creative, dev, and marketing aligned.

Notion: The Knowledge & Idea Hub

Notion is where ideas, docs, and systems live.

  • Company wiki – SOPs, guides, and onboarding materials.
  • Flexible project boards – Kanban, tables, and timelines for smaller teams.
  • AI integration – Summarize notes, draft briefs, or brainstorm right inside.

ClickUp: The All-in-One Power Player

ClickUp is the Swiss Army knife—part task manager, part reporting tool.

  • Task, doc, chat combo – Reduce app sprawl.
  • OKR tracking – Build measurable goals directly into workflows.
  • Advanced dashboards – Real-time reporting on productivity.

How I Use Project Tools in Real Workflows

  • Trello for content-heavy workflows (social, blogs, campaign boards).
  • Asana for structured, multi-phase projects with dependencies.
  • Notion for documentation, brainstorming, and creative planning.
  • ClickUp when I need a consolidated platform for smaller teams.

The right tool isn’t about features—it’s about fit. Trello may be simple, but it’s the fastest way to keep campaigns visible and moving. Combine it with structured systems like Asana and flexible platforms like Notion, and you’ve got a stack that balances speed with scale.
